AI IN THE WORKFLOW

An invoice moves from inbox to an approval queue.

An example of what we can scope with your team. The tools and automation boundaries follow your workflow.

  1. Read and extract

Turn a document into proposed structured fields.

  2. Check and route

Validate totals and vendor details before applying approval rules.

  3. Record the decision

Write the approved result and log exceptions for review.

Tool Automation vs. Operational Automation

Start with one useful task or connect a broader process. The right scope depends on the handoffs, exceptions and risk.

  • Tool Automation

Connects two apps to pass data

    Operational Automation

    Replaces entire coordination workflows

  • Tool Automation

    Saves minutes per task

    Operational Automation

Removes roles from the critical path

  • Tool Automation

Tactical — fixes one friction point

    Operational Automation

Strategic — restructures how work flows

  • Tool Automation

Still needs humans to monitor and intervene

    Operational Automation

Runs, logs, and escalates on its own

  • Tool Automation

    Built around your existing tools

    Operational Automation

    Built around your operating logic

Octacer builds for operational depth, not surface-level shortcuts.

How Operational Automation Works

Every system we build follows the same four-phase logic — regardless of the tools involved.

  1. 01

    Observe

The system monitors for trigger conditions across your data sources, inboxes, and tools

  2. 02

    Decide

It applies your business rules — routing, prioritization, thresholds — within agreed permissions, with sensitive decisions routed for approval

  3. 03

    Act

Actions execute: tasks assigned, messages sent, records updated, approvals requested

  4. 04

    Learn

Logs are captured, anomalies flagged, and patterns surface for ongoing improvement

The result: a system that runs while your team focuses on work that actually needs human judgment.

What Changes When You Automate Operations

  • Before

Staff spend hours chasing approvals and status updates

    After

System assigns, tracks, and escalates — automatically

  • Before

Reports built manually every week from multiple sources

    After

Live dashboards update in real time from connected tools

  • Before

Follow-ups happen only when someone remembers

    After

Triggers fire based on time, event, or condition — without reminders

  • Before

    Operations are person-dependent and fragile

    After

Processes run the same way every time, regardless of who's in the office

  • Before

    Scaling means hiring more coordinators

    After

Scaling means adjusting the system, not the headcount

Where We Start

Most engagements begin in one of four operational areas — chosen based on where the most manual coordination currently lives.

Sales Operations

Lead routing, follow-up sequences, CRM updates, and deal-stage tracking — without a sales ops person chasing reps.

Lead qualification routingProposal follow-up sequencesPipeline stage automation

Internal Operations

Approval flows, task assignment, status tracking, and internal reporting — across departments, without the coordination overhead.

Customer Handling

Intake forms, support ticket routing, onboarding workflows, and satisfaction triggers — so customers never wait on a human for standard responses.

What we build

Automation Implementation

Workflow systems that trigger, decide, route, approve, and record work so teams stop chasing tasks across tools.

  • 01

    Events become action

Turn form submissions, emails, status changes, and system events into reliable routing, approvals, updates, and notifications.

  • 02

    Coordination without chasing

Design ownership, review steps, escalation rules, and audit trails so work moves without manual follow-up.

  • 03

    Reliable operational records

Capture, clean, sync, and summarize operational data so reporting does not depend on spreadsheet upkeep.

  • 04

    Humans enter when needed

Route low-confidence, blocked, overdue, or unusual cases to the right person with the context needed to decide.

How we deliver

Delivery Model

The sequence follows your scope, access and dependencies. Timing is agreed before implementation.

  1. 01

    Map the workflow

We document your current processes, identify trigger conditions, and define the decision logic the system will follow.

  2. 02

    Build and test

We engineer the automation, connect to your existing tools, and run controlled tests with real data from your environment.

  3. 03

    Release and hand over

The system goes into production with monitoring in place. We stay on during handover and tune based on early behavior.

  4. 04

    Optional ongoing optimisation

Under a separate agreed scope, review logs, address new edge cases and extend the workflow.

Is automation the right next step?

A useful starting point needs a repeatable process, a clear outcome and someone to own it.

Ready to scope a workflow

  • Founders and teams with valuable, repeatable workflows
  • Businesses that have outgrown manual coordination but aren't ready for enterprise ERP
  • Operations managers who know what needs to change but lack the engineering capacity to build it
  • Companies already using tools like HubSpot, Notion, Slack, or similar — and want them to work together

Clarify these first

  • Frequency and value: is the task repeated enough to justify the investment?
  • Process: can you describe what starts the work and what a good result looks like?
  • Boundaries: which decisions can follow rules, and which need human review?
  • Ownership: who can provide access, review exceptions and approve the workflow?

A clear starting point

Choose the work you need now.

Start with a defined trigger, business outcome and exception path. An Automation Sprint suits a bounded new workflow; an existing failure belongs in System Rescue.

  • One repeatable workflow
  • Connected approvals and handoffs
  • Existing automation repair

Agree the finish line first

A tested workflow in your accounts, exception handling, operating notes and an agreed owner.

Frequently asked questions

Scope, delivery and what happens next. The details that help you decide.

Can you fix an existing workflow?

Yes. We first distinguish a repair from a new build. System Rescue covers scoped diagnosis and repair; its Quick Fix price applies only to a qualifying automation failure, not an entire rebuild.

Which tools can you work with?

We review n8n, Make, Zapier, Power Automate and connected APIs against your requirements, licensing and access. The scope identifies the actual platforms and connectors to be delivered.

How long will the build take?

Timing follows the number of systems, exceptions and access dependencies. We agree milestones after mapping the workflow; the delivery sequence on this page is not a fixed four-week promise.

What happens when a step fails?

We agree retries, duplicate prevention, alerts and a manual recovery path. Acceptance checks cover both the successful journey and important failure cases.

Who owns the workflow and accounts?

We plan delivery in your operating accounts and document credentials, configuration and handover. Any third-party licensing and reusable components are identified in the agreement.

Does automation need approval before acting?

Routine actions run only within agreed permissions and rules. Sensitive decisions and exceptions can require a named person to approve them.

Is support included after launch?

The proposal defines handover and any support period. Continued monitoring, optimisation and new workflows require an agreed support or delivery scope.
